How to Use Intelligent Forms

This article will teach you how to access and build Intelligent Forms using the new Intelligent Form Builder (IFB).

Accessing the Intelligent Form Builder
From Print Station
To access the Intelligent Form Builder from Print Station (the default for accessing the IFB using Hybrid Cloud) or Print Portal:
- From Librarian in Print Station or Portal, click the New+ button and select Data Entry Form.
From BarTender Cloud
From the BarTender Cloud Home page:
- Select Librarian from the left-hand toolbar.
- Click the New+ button and select Intelligent Form.
Using an Intelligent Form
Prepping Your Label
An Intelligent Form is a special document that you can use to input data on your labels at print time. For that to work, your label will need Named Data Sources (the fields in which you want to input data). When you create your Intelligent Form, you will link it to these objects.

As you can see, each Named Data Source corresponds to an object on the labels. For help creating and modifying Named Data Sources, see this Help topic.
Creating Your Intelligent Form
Linking Your Label
Starting on your newly-created Intelligent Form:
- Assuming you've already prepped your label, click the Link a Label File button.
- Select your desired label from the list and click Link Files. Multiple labels can be linked to a single Intelligent Form.
Creating and Linking Input Fields
- Drag an input field over from the left-hand Controls bar. For the purpose of this example, we are using a Text Entry Field.
- You can alter the properties of your selected object in the Properties pane on the right.
- Once you finish adding your input fields, click the Mapping icon next to your linked label on the bottom-left. This will allow you to link your label's Named Data Sources to the input fields on your Form. This can be done individually if you have multiple linked labels.
- Use the dropdown menus on the right to match your input fields with the Named Data Sources detected on your linked label. Click Save.
Finalizing Your Form
There are a few final steps to take before you can begin printing:
- Save your label—the button in the upper right-hand corner. After you choose and confirm a name for your form, you will find it saved as a BTF (.btf) file in Librarian.
- Use the dropdown menu at the top-right to mark your label as live.
Printing Using an Intelligent Form
In addition to printing your linked label directly from the Print Console (in Cloud), Print Station, and Print Portal, you can print a few additional ways:
- From Librarian in Cloud, using the Kebab icon next to your linked label and selecting Print.
- From Librarian in Cloud, using the Kebab icon next to your Intelligent Form (.btf) and selecting Print.
Regardless of the method, the Intelligent Form dialog will launch once you start the process.
- Use the textboxes to specify what data you want to print.
- Use the dropdown menu to select the Printer.
- Click the Print button to launch the print job.
